Performs administrative and office support activities for multiple executives and managers, along with backup to the Senior Executive Assistant, as needed.  Must have the ability to multi-task under pressure with a strong focus on exceptional customer service.   Job Description
  • Answering and managing the switchboard, directing calls, greeting/assisting visitors, maintaining the reception area and boardroom, keeping the areas neat and professional
  • Provide administrative support to multiple managers
  • Complete expense reporting and invoice payment processing
  • Schedule and coordinate meetings and travel arrangements for executives/managers
  • Assist with word processing, spreadsheets and presentations
  • Assisting Senior Executive Assistant, as requested
  • Special projects, as assigned
Education, Experience, Knowledge and Skills:
  • 3 – 5 years Administrative Assistant/Receptionist experience required, with experience providing administrative support to multiple managers
  • Able to maintain a very high level of confidentiality
  • Answering high volume switchboard, a plus
  • Experience coordinating events/meetings and managing multiple calendars
  • Proficiency in Microsoft Office including, Word, Excel, PowerPoint and Outlook
  • Internet research abilities
  • Strong written and verbal communication skills
  • Ability to work both independently and in a team environment
  • Detail oriented, organized and ability to coordinate and prioritize multiple projects
